General Description
The Project Controls Coordinator will assist the Project Controls and Project Management teams with all functions of daily operations in support of 5-10 projects at a time. Responsibilities will include, but are not limited to, data entry, financial reporting, and other project support tasks.
Duties
- Enters material receipts in JDE
- Obtains material receiving documentation from expediting/project team
- Uploads individual BOL, back-up documentation to each line level of receipt entry
- Files material receipts in Procore if applicable
- Attaches PO to AP invoices or provides budget code for Non-PO invoices
- Ensures billings to date, billings to go, etc. are correct on AP invoices
- Ensures any lien waivers or other back-up documentation is received and included in PDF packet
- Codes AP invoices to correct PO/Sub JDE line numbers with dollar value and quantity per line
- Ensures retention held and taxing is correct for all AP invoices
- Receives EAC, PPC, and monthly forecasts submitted by APM/PM
- Enters/posts costs and quantities to EcoSys
- Updates ETC and posts EAC within EcoSys
- Creates excel Executive Cost Report and updates all tabs
- Reviews completed report with the Project Manager and Sr Project Controls/Director
- Submits finalized report by due date
- Submits finalized monthly cost and billing forecasts by due date
- Adheres to internal standards, policies, and procedures
- Performs special projects and completes other duties as assigned or requested
Preferred Experience and Education
- 1-3 years of experience performing in an administrative role
- 1-3 years of financial education or experience
- Experience working with JDE, EcoSys or Procore is a plus
